Standard modules of  Computerized Maintenance Management System

ASSET

is the module which keeps the inventory of your assets. Buildings, plants, equipments and components can be georeferenced on maps or on floor plans, associated with their documents (pictures, contracts, insurance policies, etc), classified and organized from multiple points of view.

A role base access control system allows to enable or disable access to single assets or groups of them with great flexibility, partitioning the visibility of the inventory or their associated documents to different users or group of users.

Assets are classified into classes, and each class exposes different properties to describe them, with a full object-oriented inheritance model. Classes can be extended at will without the need of touching queries or reports (adding a subclass "valve" to the "components" class and populating it, will automatically show the valves in the "components" reports).

MAINTENANCE

is the module which manages maintenance work orders, resources, maintenance plans, costs, and the scheduling of activities for periodic and corrective maintenance. Maintenance plans can be built for a period (for example: one year), associated with asset typologies using business rules, and associated with required resources by means of maintenance roles/skills. The maintenance crew is organized in groups with skills, roles and calendars. A scheduler builds the maintenance plan for the inventory finding the best available operator for an asset, period, and specific skills regarding the task.

A backlog of all opened tasks is available, together with many reports offering both a synthetic and detailed vision of the progress of the activities. For all the maintenance tasks the length of the activities can be monitored, as well as their costs, time to reach the site, used spare parts, etc.

Failure rates, MTBF, and many useful KPIs can be computed after populating the history of events (failures and repair), which is the necessary decision support tool for maintenance managers.

WIRELESS

is the module which allows to send work orders to maintenance crew directly to
their mobile phones and to update the activity workflow in real time. It is
composed of a server module and a client Android application which can operate
even in restricted areas where there is no signal and is NFC enabled allowing a
detailed identification of an asset using rfid tags. On site presence of the
maintenance operator is certified and monitored in real time, and allows the
tracking of task status avoiding paper data entry.

CALL CENTER

is the module which allows to collect and insert work order requests and corrective maintenance requests (received by phone, fax or emails), keeps a thread of the conversations with the requester, and sends maintenance tasks to the MAINTENANCE module, allowing to eventually forward the request to a manager for approval.

CUSTOMER CALL CENTER

is the module which allows external authorized people to send corrective maintenance requests directly to the system, and to check the status of their requests, from a web page or a mobile phone.

A role-based security access control allows to assign external people to their buildings accordingly to flexible rules

QUALITY PLAN

is the module which keeps tracks of strategic problems (like possible failures, possible efficiency improvements, safety risks, etc), their quick fix, and their complete solutions. Problems are classified into 4 groups: FMEA (Failure Modes and Effects Analysis), SF (safety first), CR (Cost Reduction), CS (customer satisfaction), they are assigned to a person in charge, and detailed into activities which flow into the MAINTENANCE module for execution. Alerts and reminders are automatically sent to the person in charge, if needed.

NOTIFY

is a rule based module which can send alerts (email, sms, mobile messages) to managers when particular conditions are matched. Conditions are multidimensional, based on: type of the event (task opened, closed, suspended, maintenance operator reached the site, etc) classification of the assets causing the event (a building, a department, kind of equipment, a contract, etc), classification of the task, and the calendar during which the event occurs.

For example, "alert the project manager when a high priority task on department X is not closed in 15 minutes during weekends", or "alert the project manager on occurring of a call for HVAC problems in Y department". It also keeps a directory of all reports and allows to schedule the forwarding to specific users, by means of a calendar based rule system.

For example, a rule like "send the report of all closed tasks to each maintenance operator on saturday" can send 90 personal reports to each resource weekly.

It's a module which can assist monitoring maintenance operations, and react to anomalies of the process.

WAREHOUSE

keeps track of all consumable and spare parts used in maintenance activities. They are usually associated with activities in plans, or in corrective tasks. Multiple depots are available, and all movements are tracked.

BUSINESS INTELLIGENCE

is an addon module for extensive customization of some reports which require complex expressions and business rules. It’s based on exclusive Neuron technology which allows to customize all involved expression like spreadsheet cells. Each cell can mix both SQL and/or CacheObjectScript expressions which can be parametrized on other cells, and send the output to another cell or to an XML file. The resulting XML is presented using XSLT templates and it can be integrated with Intersystems’ DeepSee technology, if needed.

ENERGY

is the module which manages the energy budget for a group of buildings, allowing to track historical heating and cooling costs and comparing them with forecasts for the next year(s).

TELEMATICS

is the module which integrates with building automation supervisory software (like HVACs, boilers, burners...) collecting alarms and measures, filtering them using customizable business rules, and forwarding them to the CALL CENTER module in order to be processed. Alarms can fire immediate work order requests directly to the maintenance operator’s phone, both with or without human supervision according to calendar rules and or priority levels.

GIS

is an extension server module which allows to expand mapping capabilities using custom maps for georeferencing of assets (usually outside buildings), creating custom layers (vector and/or raster) which are superimposed on the standard maps. It's a custom mapping server for special purposes.

IOTA

is an Internet of Things module which allows to build appealing dashboards for big data. More informations on request.. :-)
